πŸ“– BUDGETEER β€” USER GUIDE

Everything the app does, organised by screen. Tap a topic to expand it, or search below.

No topics match that search.

β—ˆ Dash β€” the home screen

Budgeteer runs on one habit: log it when you pay for it. Everything else β€” bills, pays, statements β€” flows in on its own schedule and keeps this screen honest. Here's what's on it, top to bottom.

Safe to spend β€” the headline number: your bank balance minus every bill due before your next payday. update balance below it lets you correct the balance by hand any time; a statement import can also sync it automatically from the closing balance.

⚑ Pay card β€” shows your last recorded pay (amount, date, hours and effective $/hr if known) and when the next one's expected. β‡ͺ log from payslip PDF reads amount, hours and period straight off the PDF; record pay manually is the fallback (opens automatically on payday). Your budget fortnight follows recorded paydays, so odd cycles β€” public holidays, short fortnights β€” stay accurate.

Fortnight / This month β€” total spend for the current recorded fortnight and calendar month.

β–ž Fortnight by category β€” spend vs planned per category, turning red when you're over. Tap ◐ budgets to set or change plans.

  • Set a planned spend per category, per fortnight. Leave blank to skip a category, enter 0 to clear a budget you'd previously set.
  • Changes apply from today onward β€” your history stays intact, so past fortnights don't retroactively change.

◍ Due before payday β€” bills due before your next payday, from your recurring items. Tap ⌁ manage to add, edit, or review them.

  • Two kinds: auto-post (rent, storage β€” Budgeteer writes the expense on the due date) and reminder-only (direct debits β€” the bank takes the money; the expense arrives via statement import so nothing double-counts).
  • Every πŸ”” item emails you 24 hours before it's due β€” time to move money and dodge dishonour fees.
  • πŸ“± iPhone calendar sync: subscribe once via the private webcal:// link on that screen and every bill + payday appears in your Calendar with a 9am-day-before alert. Regenerate the link to revoke it.
  • After a statement import, Budgeteer detects recurring charges (subscriptions, direct debits) and offers one-tap "create reminder".

β–€ Recent entries β€” your last 8 logged expenses, newest first.

οΌ‹ Add β€” at the till

Amount first, then category, then save β€” built for one-thumbed use while you're still standing at the register.

  • Amount β€” type it like a register: digits shift in from the right (4 6 5 0 β†’ $46.50). C clears, ⌫ deletes.
  • πŸ“· scan receipt β€” photograph the docket and Budgeteer reads the total, date, merchant and picks the category. Glance, correct if needed, LOG IT. The photo is kept on the expense (πŸ“Ž in the Ledger) β€” your ATO substantiation. This one is part of the subscription; Settings tells you where your account stands.
  • Category chips β€” favourites and recently-used first; tap one to select it.
  • more options β€” date (defaults to today) and an optional note, tucked away so they don't slow down the common case.
  • β—‰ LOG IT β€” stays disabled until you've entered an amount and picked a category. Mis-tap? The toast gives you 10 seconds to undo.

Creating a category on the spot

No category fits yet? Tap new category under the chips.

  • Give it a name, pick a group (or make one β€” see below), and it's created and selected immediately, no page reload.
  • A category is what you spend on β€” "Groceries", "Petrol", "Shoes". A group is a folder that holds related categories β€” "Food", "Motor Vehicle", "Clothing". Every category belongs to exactly one group.
  • The quick way to a new group: while naming your new category, tap β–Έ + new group right under the group dropdown β€” type a name, β—‰ create & pick, and it's created and already selected.
  • Full category/group management β€” favouriting, editing, archiving, reordering groups β€” lives at βš™ Settings β†’ 🏷 Categories & groups.
Worked example: you're paying for new shoes and there's no "Clothing" category yet. Tap new category, type "Shoes", then tap β–Έ + new group, type "Clothing", tap create & pick. Done β€” "Shoes" is selected and saved under "Clothing" everywhere from here on: this screen, the Ledger, your reports.

β–ž Reports β€” the reports screen

Build a criteria-based report and reuse it β€” or export it β€” any time.

Reports and the tax report are part of the subscription (AU$2.99 a month, which also covers receipt scanning); family accounts have them included. Everything else β€” logging, statement import, budgets, and marking an expense deductible β€” is free on every account. If a subscription ends nothing is deleted: your ledger and saved reports are exactly where you left them.

  • Range β€” fortnight presets follow your real recorded paydays, or pick this/last month, this financial year, or a custom range.
  • Categories β€” tick one or more to filter; none ticked means all categories.
  • ⏚ Tax-deductible only β€” narrows the report to deductible entries.
  • Running it gives you totals, a daily spend chart, a by-category breakdown, and a table of matching entries (first 100 β€” the CSV has the rest).
  • ⇓ CSV exports the by-category breakdown; the full entries list exports separately, same button style.
  • β˜… save any report β€” saved presets stay evergreen ("this FY" always means the current one, not a frozen date range). They're listed at the top of this screen for one-tap re-run.
  • βŽ™ print / PDF gives a clean paper copy via your browser's print dialog.

Tax report

Tap ⏚ tax report at the top of this screen for the ATO-focused view.

  • Mark any Ledger entry deductible via its ⌁ tax disclosure β€” pick a type and a work-use %. Business categories flag themselves as deductible by default.
  • The financial-year report groups everything by ATO label with claimable amounts calculated from the work-use %.
  • CSV export is formatted ready to hand to your accountant.

β–€ Ledger β€” every entry, editable

Everything you've logged, grouped by day with a daily subtotal.

  • Each row shows the category, note, and a badge for anything not a manual entry β€” scan, recurring, or import β€” plus a ⏚ tax badge if it's marked deductible and a πŸ“Ž receipt link if a photo's attached.
  • βœ• deletes an entry β€” 10 seconds to undo, same as everywhere else.
  • recategorise disclosure on any row β€” move an entry to a different category, whatever way it was logged. Need a category that doesn't exist yet? Pick οΌ‹ new category… from the list and make it without leaving the screen.
  • tax disclosure on any row β€” mark it deductible, pick an ATO type, set the work-use %.

Statement import

Tap β‡ͺ import at the top of this screen β€” the backstop for anything that didn't get logged at the till.

  • Upload an ANZ Transaction Report PDF (any of your accounts). The PDF is parsed then discarded.
  • Deposits and transfers between your own accounts are skipped automatically; real spending waits for a category. Known merchants come pre-suggested (✦).
  • Re-importing an overlapping report is safe β€” duplicates are recognised and skipped.
  • One tap syncs your dashboard balance from the statement's closing balance.

βš™ Settings β€” reached via the gear icon

Not one of the four main tabs β€” the gear icon in the top bar opens it from anywhere.

  • β—‰ Account β€” your name and email, and ⏻ Jack out to sign out.
  • ⚑ Pay anchor β€” the fallback payday cadence (every 14 days from a date), only used until your first real pay is recorded.
  • πŸ“· Receipt scanning β€” shows whether the Anthropic API key is configured on the server; scanning is unavailable until it is.
  • ⌁ Everything else β€” one-tap links to Categories & groups, Fortnight budgets, Recurring bills/reminders/calendar, Statement import, and the Tax report (all covered above, under the screen they're linked from).
  • The β™ͺ sound toggle lives in the top app bar, not here β€” it can be switched on or off any time and persists across visits. Your bank balance is edited from the dashboard, not here.

πŸ“± iPhone tips

  • Safari β†’ Share β†’ Add to Home Screen: full-screen app with the phosphor icon, no browser chrome.
  • Sound can be switched on or off any time with the β™ͺ toggle in the top bar; it honours your phone's physical silent switch.
  • Everything works one-thumbed; undo is always 10 seconds.

β—‰ Your account β€” signing in, and what costs money

Your ledger is yours alone. Expenses, categories, budgets, pays, imports and settings all belong to your account β€” no other account can see or touch them.

Getting an account

  • Take ⚿ Request access from the sign-in page: your email, your name, and a password of at least 12 characters. You land straight in your new ledger β€” there's no confirmation email to wait for.
  • The Invite code box is optional. Leave it blank unless you were given one.
  • A new ledger arrives stocked with starter categories and groups β€” Bills, Food, Household, Motor Vehicle and the rest. Rename them, add your own, archive the ones you'll never use.

What costs money

  • Free on every account: logging expenses, statement import, budgets, and marking an expense deductible.
  • Reports, the tax report and πŸ“· scan receipt are what the subscription buys β€” AU$2.99 a month, including 50 scans. Settings has the price and the button, and you can cancel there any time.
  • Nothing is ever deleted if a subscription ends. Your ledger and saved reports wait for you exactly as you left them.

Signing in and out

  • Email and password, then ⏎ Jack in. Signing in successfully costs you nothing, so everyone at home can use their own account freely; ten failed tries from one connection pauses sign-in there for 15 minutes, and it says so plainly when it does.
  • Forgotten it? Lost your passkey? on the sign-in page emails you a link. It works once and expires after an hour.
  • Settings β†’ β—‰ Account shows who you're signed in as. ⏻ Jack out ends the session β€” worth doing on a borrowed device.
